Efficient Shift Management with Empress's Shift Request

What is the Shift Request feature?

The Shift Request feature is a part of Empress’s Human Resources module. It allows employees to request a specific type of shift. Once a request is approved, a Shift Assignment is automatically created. This feature simplifies the process of managing and tracking shift assignments, making it easier for businesses to manage their workforce effectively.

Getting Started: Prerequisites

Before you can create a Shift Request, you need to have the following:

  • An Employee created within the system
  • A defined Shift Type

How to Create a Shift Request

To create a new Shift Request, you need to:

  1. Navigate to: Human Resources > Shift Management > Shift Request.
  2. Click on New to access the Shift Request List.
  3. Select the appropriate Employee and Shift Type.
  4. Define the Shift duration by setting the From Date and To Date.
  5. Choose the Approver. If the selected approver doesn’t have access to the Shift Request document, they’ll be granted “submit” permission.
  6. Click Save.

After the Shift Request is approved and submitted, a Shift Assignment is automatically created.

Setting Up Shift Request Approvers

The person who can approve a Shift Request is known as the Shift Request Approver. This approver can be set on two different levels:

  • Department Level: You can configure Shift Request Approvers for each department within the Department master. A department can have more than one Shift Request Approver. If an Employee from a particular department requests a Shift Type, the Shift Request Approver set in that Employee’s department master is considered as their Shift Type Approver.

  • Employee Level: The Shift Request Approver can also be set in the employee master.

If Shift Request Approvers are set at both employee and department levels, the approver set at the employee level will be the default approver.
