Enabling Sample Retention in the Item Master

The Sample Retention feature in Empress is based on the batch system. Here’s how to enable it:

  1. Go to the Item Master and select the item you want to enable sample retention for.
  2. Enable the “Has Batch No” option. This indicates that the item belongs to a specific batch.
  3. Check the “Retain Sample” box to enable the sample retention feature for this item.
  4. Specify the maximum number of samples that you want to retain for each batch of this item.

Creating a Stock Entry

Creating a stock entry for sample retention involves three steps:

  1. Create a new Stock Entry with the purpose of “Material Receipt”.
  2. In this stock entry, set the sample quantity for items that have the “Retain Sample” feature enabled. Make sure to select the batch number for the item or items, and ensure the sample quantity does not exceed the maximum sample quantity specified in the Item Master.
  3. After you submit the stock entry, a “Make Retention Stock Entry” button will appear. Click this button to start a new stock entry for transferring the sample items from the specified batch to the retention warehouse.
