Accessing the Guardian Feature

To access this feature, follow the steps below:

  1. From your Empress dashboard, click on Home.
  2. From the dropdown menu, select Education.
  3. In the submenu, select Student.
  4. Finally, click on Guardian.

Preparing to Create a Guardian Record

Before you proceed to create a guardian record, ensure you have created the following:

  • Student Record: This is the record of the student for whom the guardian record is being created.
  • User Account: Create a user account for the guardian. This will facilitate communication and interactions within the Empress platform.

How to Create a Guardian Record

Creating a new guardian is simple. Just follow these steps:

  1. Click on ‘New Guardian’ in the Guardian List.
  2. Add the name of the Guardian and click ‘Save’.

Adding Additional Guardian Information

Aside from the basic guardian details, you can record the following additional information:

  • Email Address: Enter the guardian’s email address. This can be used for sending newsletters or important announcements.
  • Mobile Number: Input the guardian’s primary mobile number for direct communication.
  • Alternate Mobile Number: This is an additional number for emergencies.

When you create a student record and select a guardian for that student, the student’s name will automatically appear in the ‘Guardian Of’ field. One guardian can be linked to multiple students, resulting in multiple entries in this field. Note that you can’t add more students to this field directly.

Guardian Interests

The ‘Interests’ field helps you understand the guardian better. It is a record of activities that the guardian is willing to involve in for the institute or would like their ward to participate in for extra-curricular activities.

Inviting the Guardian to Join Empress

Once you’ve saved the guardian details, an ‘Invite As User’ button will appear. Click this button to send an invitation email to the guardian, inviting them to create a user account on Empress.
