Accessing the Chart of Accounts

To start your journey, you need to access the Chart of Accounts. It’s as easy as clicking on the Sidebar and following the path Setup > Chart of Accounts.

The Two Types of Accounts

In Empress, your Chart of Accounts comprises two primary types of accounts:

  1. Ledger Accounts: These accounts come into play in transactional entries and can be seen in the General Ledger.
  2. Group Accounts: These accounts serve the purpose of categorizing other Group and Ledger accounts for a well-organized chart.

The Foundation: Root Accounts

At the apex of your Chart of Accounts, you’ll discover four Group Accounts. Consider these your Root Accounts. Every other account in your chart falls under these Root Accounts.

The number of Root Accounts can vary based on your country’s Chart of Accounts. For instance, the Indian Chart of Accounts features four, while the Standard Chart of Accounts has five.

Each Root Account is classified as either a Credit or Debit account. If a Root Account is a Credit account, all accounts beneath it will also be Credit Accounts.

Navigating Through Accounts

Clicking on a Root Account opens up a world of accounts grouped under it. The same applies to other Group Accounts as well.

Clicking on a Ledger Account will reveal its Quick Edit Form, where you can take a closer look at the account’s details.

Adding a New Account to Your Chart

Adding a new account to your Chart of Accounts is a piece of cake. Here’s how you do it:

  1. Hover over a Group Account.
  2. Click on ‘Add Account’ or ‘Add Group’.

A new row will appear for you to enter the account name. All you have to do is punch in the name and hit ‘Save’. Presto! You’ve just created a new account.
