Handling Bad Debts in Empress

Let’s say a customer named Frank has an outstanding invoice for $200. Unfortunately, Frank’s business has closed and he can’t pay his invoice. Here’s how you’d handle this situation in Empress:

Writing Off Bad Debts

  1. Create a new Journal Entry and select Write-Off Entry as the type.

  2. Choose the Write Off account to debit and the Debtors account to credit.

  3. Set the Party Type to Customer and select Frank as the Party.

  4. Finally, select the Reference Type & Reference Invoice that you want to write off. You’ll find these options in the Debtor’s row under the Reference section.

Following these steps will write off the balance as an expense, and Frank’s outstanding balance will now show as 0.

Managing Future Payments

If Frank later becomes able to pay his invoice, you can easily handle this in Empress too. Simply create a reverse journal entry. This entry will remove Frank from the write-off account and adjust it with the payment received, effectively clearing the bad debt from your books.
