Welcome to the Empress Asset Maintenance Log guide. This feature is a crucial part of the Asset module, and it is designed to help businesses manage and track the maintenance activities of their assets.
Introduction to Asset Maintenance Log
In simple terms, the Asset Maintenance Log is a record of all maintenance activities associated with each asset. It provides a comprehensive log, detailing the maintenance tasks, their status, due date, completion date, and much more.
This feature is particularly beneficial for businesses as it helps in:
- Tracking the condition and performance of assets
- Planning and scheduling maintenance activities
- Ensuring timely maintenance to prevent asset failure
- Reducing downtime and increasing asset longevity
Using the Asset Maintenance Log
Viewing the Asset Maintenance Log
To view the Asset Maintenance Log, navigate to the Asset module, and click on the Asset Maintenance Log option. Here, you will see a list of all the maintenance logs created so far.
Creating a New Maintenance Log
To create a new maintenance log:
- Click on the New button in the Asset Maintenance Log screen.
- In the Asset Maintenance field, select the asset for which you want to create the log.
- The Asset Name, Item Code, and Item Name fields will be automatically filled.
- Under the Maintenance Details section, select the Task associated with the maintenance activity.
- The Task Name, Maintenance Type, Periodicity, and Assign To fields will be automatically filled.
- In the Due Date and Completion Date fields, the dates will be automatically filled based on the task selected.
- Choose the Maintenance Status from the dropdown menu.
- If the task requires a certificate, check the Has Certificate box and attach the certificate in the Certificate Attachment field.
- The Description field will be automatically filled with the task’s description.
- In the Actions Performed field, provide details of the actions performed during the maintenance.
- Once all the details are filled in, click on the Save button to create the log.
Editing a Maintenance Log
To edit a log, open the log you want to edit, make the necessary changes, and click on the Save button.
Sorting and Tracking Maintenance Logs
You can sort the maintenance logs by their Modified date. Also, Empress allows you to track changes and see who has accessed a log with the Track Changes and Track Seen options.
User Roles and Permissions
The Asset Maintenance Log can be accessed and managed by users with the Manufacturing User role. They can create, read, write, delete, and amend logs, and also export and share them.
