Mastering Auto Repeat: Streamlining Recurring Document Generation

Welcome to the Auto Repeat guide! This feature in Empress offers an easy way to generate recurring documents automatically within a set time period.

Whether you need to create identical Journal Entries every month or generate Sales Invoices at a regular interval, Auto Repeat is here to save your time and effort. It’s a perfect companion for your routine business operations.

Getting Started with Auto Repeat

To get started with Auto Repeat, follow these simple steps:

  1. Click on Home.
  2. Navigate to Settings > Automation > Auto Repeat.

Setting Up Auto Repeat

Before setting up Auto Repeat, you need to customize the form you want to make repeatable.

Customizing the Form

  1. Go to Home > Customization > Form Customization > Customize Form.
  2. Choose the form you want to make repeatable.
  3. Check the ‘Allow Auto Repeat’ option. This step is necessary to make the document type visible in the Auto Repeat document type.

Setting up Auto Repeat

  1. Go to Home > Settings > Automation > Auto Repeat > New.
  2. Select the type of document you want to repeat (e.g., Journal Entry or Sales Invoice).
  3. Choose the specific document you want to repeat.
  4. Set the Start Date and End Date (optional). If you don’t set an End Date, documents will continue to be generated until you disable Auto Repeat.
  5. Set the frequency for creating repeatable documents (Daily, Weekly, Monthly, etc.).
  6. Click on Save to confirm your settings.

You can also set up Auto Repeat directly from the document by clicking on Repeat from the Menu in the Toolbar. If a document is already set on Auto Repeat, the Repeat option will not be available.

Features of Auto Repeat

  • Submit on Creation: If the document type can be submitted, you can choose to automatically submit it upon creation.
  • Notify by Email: Want to keep certain people in the loop? Enable ‘Notify by Email’ to send auto-generated documents to specified email addresses.
  • Repeat on a Particular Day: If you set the frequency as Monthly, Quarterly, etc., documents will be created on the same day as the ‘Start Date’ of Auto Repeat.
  • Select Weekdays for Auto Repeat: With the Weekly frequency, you can choose the specific days for document creation.
  • Auto Repeat Dashboard: View your Auto Repeat schedule in the Dashboard.
  • Auto Repeat Frequency on the Sidebar: When a document is set on Auto Repeat, you can see the frequency on the sidebar.
  • Disable Auto Repeat: Stop creating recurring documents and unlink the Auto Repeat document from the Reference Document by checking this field.
