Mastering Empress: Leverage Journal Entry for Financial Management

Introduction

Journal Entry is a fundamental component in the Empress accounting system. It allows you to record all the financial transactions of your business. Entries can be made for various types of transactions like sales, purchases, bank transactions, and more.

Journal Entry feature can be used as a general tool for accounting and financial management in your organization. It’s user-friendly and designed to ensure that business users without a background in accounting or software development can effectively use it.

The Journal Entry Feature

Step 1: Accessing the Journal Entry Feature

To access the Journal Entry feature:

  • Go to the Empress Dashboard.
  • Click on the Accounts tab.
  • Select Journal Entry from the dropdown menu.

Step 2: Creating a New Journal Entry

  • Click on the New button on the top right corner of the Journal Entry page.
  • Fill in the necessary details like Entry Type, Posting Date, Company, and more, in the provided fields.

Step 3: Adding Accounting Entries

  • Under the Accounting Entries section, you can add the accounts involved in the transaction and their corresponding debit or credit amounts.

Step 4: Saving and Submitting the Journal Entry

  • Click Save to store the entry temporarily or Submit to finalize the entry.

Step 5: Editing a Journal Entry

  • If you need to make changes, click on the entry you want to edit, make the necessary changes, and click Save or Submit again.

Step 6: Tracking the Journal Entries

  • You can view all the Journal Entries you’ve made in the Journal Entry list.
  • You can sort the entries by date, entry type, and other fields by clicking on the column headers.

User Roles and Permissions

Empress provides various roles for different levels of access. For instance, roles like Accounts User and Accounts Manager can create, read, write, and amend journal entries. The Auditor role, on the other hand, has read-only access, ensuring they can view the data but not alter it.
