Introduction

In the world of business, a Contract is a crucial element that solidifies the terms and conditions of an agreement between a supplier and a customer. In Empress, the Contract feature enables users to create, manage, and track these legal agreements in a streamlined and efficient manner. From setting contract terms, to recording fulfillment details, Empress’s Contract feature is a comprehensive tool designed to facilitate and enhance your business operations.

Accessing the Contract list

To access your Contract list in Empress:

  1. Go to Home.
  2. Navigate to Sales Pipeline.
  3. Select Contract.

How to Create a New Contract

Creating a new contract in Empress is a simple and intuitive process:

  1. Go to your Contract list and click on New.
  2. Choose the relevant customer from your list.
  3. Enter the Contract Terms. To save time, you can create a template that will allow you to easily input the terms.
  4. Once all the details are filled in, click Save.

Understanding Contract Statuses

Empress provides three statuses for your contracts:

  • Unsigned: Awaiting customer’s signature.
  • Active: Signed by the customer and currently valid.
  • Inactive: Contract is past its validity period and is no longer valid.

Exploring Contract Features

Contract Period

This feature allows you to define the start and end dates for the contract’s validity.

Signee Details

This section appears when the ‘Signed’ checkbox is selected, indicating the customer has agreed to the terms of the contract. You can input the name of the person who signed the contract and the date it was signed.

Contract Details

Here, you can input the specifics of the contract in the Contract Terms section. You also have the option to use a Contract Template to quickly fill in the terms.

Fulfilment Details

If your company, the supplier, has obligations to fulfill as part of the contract, these details can be recorded in the Fulfilment Terms section.

Contract Template

Creating a Contract Template can help save time when drafting future contracts. Navigate to Home > CRM > Contract Template to create a new template.

Contract References

If your contract is linked to a transaction within Empress, you can select the type and specific transaction in this section.
