Prepping for Sales Returns

Before you can process a sales return in Empress, ensure the following:

  • Item Creation: The item being returned must already exist in your Empress system.
  • Sales Invoice or Delivery Note: The original sales invoice or delivery note must have been generated.

How to Create a Sales Return

Creating a sales return in Empress is a straightforward process:

  1. Locate the Original Document: Start by opening the original Delivery Note or Sales Invoice that corresponds to the returned items.
  2. Initiate the Sales Return: Click on ‘Create > Sales Return’ to begin the return process. A new Delivery Note will open with ‘Is Return’ checked and the Items, Rate, and taxes displayed as negative numbers.
  3. Create a Return Entry: If you want to return the stock alongside a credit note, you can create a return entry against the original Sales Invoice. Simply check the “Update Stock” option in the Return Sales Invoice.
  4. Submit the Return Note: Once you submit the Return Delivery Note or Sales Invoice, the Empress system will automatically increase the stock balance in the mentioned Warehouse. The stock balance will increase based on the original purchase rate of the returned items for accurate stock valuation.
  5. Track Customer Account: In case of a Return Sales Invoice, Empress will credit the Customer account and debit the related income and tax account, as shown in the Accounting Ledger.

Note: If Perpetual Inventory is enabled, Empress will also post an accounting entry against the warehouse account to sync the warehouse account balance with the stock balance as per the Stock Ledger.

The Impact of a Sales Return on Delivery Note

Creating a Sales Return against a Delivery Note in Empress will:

  • Update the Returned Quantity in the original Delivery Note and any linked Sales Order.
  • Change the status of the original Delivery Note to Return Issued if 100% of the items are returned.
