However, when ordering from a supplier, the UoM for an item might differ. You could order a box of pens, or a truckload of sand. This is where Empress’s ability to adjust the Purchase UoM for an item proves useful.

Practical Application: Ordering Pens in Boxes

Assuming ‘Pen’ is stored in numbers, but it’s purchased in boxes, we will demonstrate how to create a Purchase Order for pens in boxes.

Step 1: Update UoM in the Purchase Order

In the Purchase Order, you’ll find two UoM fields:

  • UoM
  • Stock UoM

By default, these fields reflect the standard UoM of an item. However, you can adjust the UoM field to select the Purchase UoM (in this case, ‘Box’). This change will make the Purchase UoM visible to the supplier on the printed order, ensuring clarity in communication.

Step 2: Set UoM Conversion Factors

The UoM Conversion Factor is the ratio between the Purchase UoM and Stock UoM. For instance, if a box contains 20 pens, the UoM Conversion Factor would be 20. This factor helps Empress calculate the quantity in the Stock UoM based on the ordered quantity and the Conversion Factor. So, if you order one box, Empress will set the Quantity in the Stock UoM as 20.
