In Empress, keeping your documents well organized is key for smooth business operations. One feature that helps with this is the Cancel and Delete Submitted Documents feature. This allows you to remove any unneeded documents, ensuring your workspace remains clean and easy to navigate.
Why Cancel and Delete Documents?
Over time, your business may generate a large volume of documents. Some of these documents may become obsolete or redundant. By learning how to cancel and delete these documents, you can keep your document management system efficient and clutter-free.
Step 1: Cancelling the Submitted Document
The first step to deleting a document is cancelling it. To do this:
- Locate the document you wish to cancel.
- Look for the ‘Cancel’ button in the upper right corner of the document and click on it.
Once you’ve successfully cancelled the document, its status will change to ‘Cancelled’.
Step 2: Deleting the Cancelled Document
After cancelling a document, you can then delete it. Here’s how:
- With the document open, go to the Menu.
- From the dropdown, select ‘Delete’.
Note: You can delete several documents at once by choosing them from the list view and then following the same cancellation and deletion process.
Dealing with Linked Documents
If the document you want to delete is linked to other documents, you need to cancel these connected documents first. Only then can you delete the parent document.
Viewing and Managing Deleted Documents
Once a document is deleted, it’s removed from its respective DocType. However, you can still view these deleted documents in the ‘Deleted Documents’ section. Here, you have the option to permanently delete them or restore them back to your workspace.
It’s worth noting that document deletion should be done with caution, as this action isn’t easily reversible. However, by following these steps, you can keep your Empress document management system tidy and efficient.
