Maximizing Empress General Ledger with Customizable Filters

Introduction

The General Ledger in Empress is akin to your business’s financial diary. It records every financial transaction your business makes, presenting this data in a comprehensive report. The General Ledger is a crucial tool for keeping track of your financial operations, helping you understand where your money is coming from and where it’s going.

Accessing the General Ledger

To find the General Ledger, simply follow this path from the Empress sidebar: Report > General Ledger.

Making the Most of Your General Ledger with Filters

One of the standout features of the Empress General Ledger is its wide range of filters. These filters allow you to customize your ledger, ensuring you see only the transactions that are most relevant to you.

Transaction Type Filter (Ref Type)

This filter allows you to decide what kind of transactions you want to see. For example, if you want to see only ‘Journal Entry’ transactions, you can set the Ref Type to ‘Journal Entry’. The General Ledger will then only display entries created due to Journal Entries.

Transaction Name Filter (Ref Name)

Should you wish to see all the entries created by a single transaction, you can use the Ref Name filter. To do this, you’ll need to set the Ref Type first.

Account Filter

The Account filter is an easy way to see all the entries where money has been credited or debited from a specific account.

Party Filter

If you’re interested in transactions involving a specific party, you can use the Party filter.

Date Filters

The From Date and To Date filters allow you to set a specific time frame for your ledger. The default setting for these filters is the past year, up to the current date.

Group By Filter

The Group By filter offers another level of customization for your General Ledger. You can group entries according to a specific criteria. For example, if you set the Group By filter as ‘Reference’, the entries will be grouped by the name of the transactional entry.

Include Cancelled Filter

This filter allows you to see any entries that have been cancelled. If you select this filter, a new column, Reverted, will appear in your General Ledger to show which entries have been cancelled.

Ascending Order Filter

By default, the General Ledger displays transactions in descending order, starting with the most recent. If you prefer, you can select the Ascending Order filter to see entries in the order they were made.

In Summary

The General Ledger in Empress is more than just a record of your financial transactions. With its range of filters, it’s a powerful tool that can give you a clearer, more targeted view of your business’s financial operations.
