The Shopify Connector allows seamless transfer of orders from Shopify to Empress. It generates corresponding Sales Orders in the Empress system and creates new customer or item entries if they don’t already exist. This feature offers enhanced data management and order processing capabilities, allowing you to streamline your e-commerce operations.
Getting Started with the Shopify Connector
The Shopify Connector is a standalone feature that you can access through the Empress Cloud Marketplace.
Updating from an Older Version
If you’ve used an older version of the Shopify Connector, you’ll need to disable it before setting up the new feature. Once you’ve installed the new app, it will migrate existing data to a dedicated document type. You can verify the migration status by visiting the “Ecommerce Integration Log” document type.
Installing the App
The steps for installing the app vary depending on your hosting platform:
- If your site is hosted on Empress Cloud, you can install the app directly from your site dashboard in the Empress Cloud Marketplace.
- If your site is hosted by Empress, raise a support ticket to request the installation.
- For self-hosted sites, you can install the app using the Empress bench. Please refer to the bench documentation for detailed instructions.
Creating a Custom App in Shopify
The next step is to create a custom app in your Shopify account. Here’s how to do it:
- Select “Apps” from the menu bar.
- Click on Develop apps for your store to create a custom app.
- Fill in the necessary details to create the app. Each app will have its own API key, Password, and Shared secret.
- Grant the following permissions to the app: Draft Orders - Read and Write, Orders - Read and Write, Location - Read, Customers - Read, Assigned fulfillment orders - Read and Write, Products - Read and Write, Product listings - Read and Write, Inventory - Read and Write.
After creating the app, you can install it on your site.
Configuring Shopify on Empress
Once you’ve set up the custom app on Shopify, it’s time to configure Shopify in Empress.
- Access Shopify Settings by searching for “Shopify Setting” in the Empress search bar.
- Enter your Shopify site URL, Access Token, and API Secret from your Shopify Private App.
- Configure the Customer, Company, and Inventory settings.
- Set up the Sync Configurations. This will allow Empress to pull orders from Shopify and create corresponding Sales Orders.
- Set up the Tax Mapper to prepare tax and shipping charges for each tax and shipping charge applied in Shopify.
After you’ve completed these configurations, enable the Shopify sync and save the settings. This will start the order sync process between Shopify and Empress.
Synchronizing Previous Orders from Shopify
You can also sync your previous orders from Shopify into Empress.
- Enable “Sync Old Shopify Orders”.
- Select the date range for the orders that you want to sync.
Inventory Sync
You can update your inventory with Shopify for items synced from Shopify. The inventory sync happens every hour.
- Enable inventory sync.
- Select the sync frequency.
- Fetch Shopify locations and link each location with an Empress warehouse.
- Save the settings.
Please note that Empress is considered the primary source of information about inventory levels. Any changes made to Shopify inventory levels will be overwritten by Empress if Empress inventory levels change.
Item Sync
You can enable the sync of new Empress items to Shopify.
- Check “Upload new Empress items to Shopify” to enable this feature.
- Update Shopify item upon updating an Empress item. Note that all items are marked as Draft on Shopify and not published in any store.
Please note that this feature does not support data import or variant/template items.
Handling Order Cancellations
The connector manages order cancellations in the following ways:
- If an order is cancelled on Shopify and doesn’t have an invoice or delivery note linked to it, the corresponding Empress Sales Order is cancelled.
- If the Empress Sales Order has any linked document, the order status on Shopify is added to the respective document. The user must handle cancellation and preparation of appropriate documents based on this information.
