Setting Whole Number Units of Measurement in Empress

Introduction

Units of Measurement (UoM) are essential tools that allow you to quantify items in your inventory. You may be familiar with UoMs such as Numbers (Nos), Kilograms (Kgs), Liters, Meters, Boxes, Cartons, and more. In Empress, we offer a flexible way to manage these units, especially when dealing with items that cannot be quantified in fractions. This guide will guide you through the process of configuring these settings in a user-friendly manner.

Introduction

In any business, maintaining accurate inventory records is crucial. For instance, it’s not practical or correct to state that you have 1.5 Nos. of televisions or 3.7 Nos. of computer sets. These items must always be quantified in whole numbers. With Empress, we provide a feature that enables you to specify whether a particular UoM can have decimal values or not. By default, all UoMs in Empress allow decimal values, but you can restrict this if required.

How to Access and Edit UoM Settings

  1. To begin, navigate to the list of Units of Measurement. You can do this by following these steps:

    • Click on Stock
    • Then, click on Setup
    • Finally, select UoM
  2. You will now see a list of all available UoMs. Here, select the UoM you wish to restrict decimal values for - in this case, let’s assume ‘Nos.’

  3. Within the settings of the selected UoM, look for a checkbox labeled ‘Must be whole number.’ Checking this box will prevent users from entering decimal values for items quantified by this UoM.

Managing and Understanding Validation

Once you have set a UoM to be a whole number, Empress will validate this when you are creating a transaction. If you attempt to enter a fractional value for an item quantified by a ‘whole number’ UoM, you will receive an error message stating: Quantity cannot be a fraction at row #.

This error message acts as a safety net, ensuring the accuracy and integrity of your inventory data.

Conclusion
