Employee Onboarding is a crucial process in any organization, involving a series of tasks that must be completed when a new employee joins your team. Empress allows you to streamline this process with an easy-to-use interface and practical tools.

The Importance of Employee Onboarding

When a new employee is hired, standard onboarding activities may include:

  • Conducting a legal and professional background check
  • Creating an Employee Master Record

  • Creating an identity card
  • Allocating leaves

These activities are important for ensuring a smooth transition for new hires, and can be easily managed and tracked through the Employee Onboarding feature in Empress.

Preparing for Employee Onboarding

Before you begin the Employee Onboarding process, make sure you have prepared the following documents:

  • Job Applicant
  • Employee
  • Department
  • Designation
  • Employee Grade

How to Create an Employee Onboarding Process in Empress

To create an Employee Onboarding process, follow these simple steps:

  1. Navigate to: Employee Onboarding > New.
  2. Select the Job Applicant - the corresponding Employee will automatically be fetched.
  3. Select the Employee Onboarding Template. The Department, Designation and Employee grade will automatically fill in, provided these details are in the Onboarding Template.
  4. Specify the Date of Joining.
  5. Save and Submit.

Note: If an Employee Onboarding Template isn’t available, you can fill in the onboarding information directly in the Employee Onboarding document.

Note: The ‘Status’ of the Employee Onboarding changes to ‘Completed’ once all related Activities are finished.

Key Features of Employee Onboarding

Employee Onboarding Template

The Employee Onboarding Template serves as a blueprint for the process, containing a predefined list of Activities for Employee Onboarding. You can create a unique Employee Onboarding Template for a specific Department, Designation, and Employee Grade.

To create a new Employee Onboarding Template:

  1. Navigate to: Human Resources > Employee Lifecycle > Employee Onboarding Template > New.
  2. Specify the Department, Designation, and Employee Grade (optional).
  3. List the Activities for onboarding. For each Activity, you can assign a User or Role, or both.
  4. Schedule the Onboarding Activities by specifying the Begin On (Days) and the Duration (in Days) for each activity.

Tasks and Assignments

When you submit an Employee Onboarding document, a Project is created. This Project consists of Tasks for each onboarding Activity. If a date and duration are set for each activity, tasks will be created with an appropriate Start and End Date, excluding holidays.

Each Activity can be assigned a weight based on its importance, and you can update the progress on these tasks in the Employee Onboarding process.

With all the mandatory onboarding tasks complete, you can directly create an Employee through the Employee Onboarding document.
