Streamline Workflow with Empress's Assignment Rule Feature

Introduction

Welcome to this guide on Empress’s powerful Assignment Rule feature. The Assignment Rule is a useful tool that automatically assigns tasks or documents to your team members. This feature is essential for businesses looking to streamline workflow and evenly distribute tasks, such as support tickets, among the team.

Accessing the Assignment Rule Feature

To start using the Assignment Rule feature, follow these easy steps:

  1. Navigate to the home screen.
  2. Click on Settings.
  3. Select Assignment Rule from the drop-down menu.

How to Create an Assignment Rule

Creating an Assignment Rule is straightforward. Here’s a step-by-step guide:

  1. Navigate to the Assignment Rule list and click on New.
  2. Choose the type of document you want to automatically assign (e.g., Issue).
  3. Write a brief Description that will be appended to the To Do task.
  4. Specify the condition for the assignment. These conditions can be simple expressions that define when a task should be assigned. For example, you might set a condition where only “Open” issues are assigned, or where “Technical” issues with a “High” priority are assigned.
  5. Select the method of assignment. You have three options:
    • Round Robin: Assigns tasks to each user in sequence.
    • Load Balancing: Assigns tasks to the user with the fewest current assignments.
    • Based on Field: Assigns tasks to the user defined in a specific field.
  6. Select the users who this rule will apply to.
  7. Click Save to finalize your rule.

The Assignment Rule feature also allows for task descriptions to include properties of the document, making it easier for assignees to understand their tasks.

Advanced Features of the Assignment Rule

Multiple Assignment Rules

Empress enables you to establish multiple auto-assignments for each type of document. The rule with the highest priority is applied first, ensuring urgent tasks are addressed promptly.

Setting Due Dates for Assignments

The Assignment Rule feature also allows you to set due dates for assignments based on a date field in the document. For example, an issue’s assignment due date could be set based on the “Resolution By” date of the issue.

Please note, the “Due Date Based On” option is only available if the “Document Type” has been selected and the selected Document Type includes a “Date” or “Datetime” field. Also, the assignment’s due date will be updated anytime the “Due Date Based On” field in the reference document is updated.

Conclusion

The Assignment Rule feature in Empress is a powerful tool for businesses, simplifying task distribution and workflow management. By using this feature, your business can become more efficient, ensuring tasks are assigned and completed in an orderly and timely manner.
