  • Defining the Closing Account Head, that is, the account under Liability or Equity where Profit/Loss will be booked
  • Adding any relevant Remarks regarding the closing period

It also provides real-time tracking of the GL Entry Processing Status, indicating whether it’s “In Progress”, “Completed”, or “Failed”, along with an error message, if any.

How to Use the Feature

Here’s how to view, edit, sort, and track information using the Period Closing Voucher feature:

  1. Access the feature via the user interface by navigating to Empress -> Accounts -> DocType -> Period Closing Voucher.
  2. To create a new voucher, click on Create New, and fill in the required fields such as Transaction Date, Posting Date, Fiscal Year, Company, and Closing Account Head.
  3. Once all details are entered, click Submit to finalize the voucher.
  4. To view existing vouchers, sort them by Posting Date or Fiscal Year using the Sort option.
  5. You can track the status of each voucher under the GL Entry Processing Status field. If there’s an error, it’ll be displayed in the Error Message field.

User Roles and Permissions

User roles and permissions can be customized for the Period Closing Voucher feature. The roles with access to this feature by default are:

  • System Manager
  • Accounts Manager

These roles can perform actions like create, read, write, submit, amend, cancel, delete, email, print, and report on Period Closing Vouchers.
