Understanding the Serial and Batch Bundle

In essence, the Serial and Batch Bundle is a unique identifier created and linked to your stock transactions whenever you deal with Serial or Batch numbers. It’s important to note that each transaction requires its own distinct Serial and Batch Bundle. This ensures the accuracy and reliability of your inventory tracking.

Auto-Creation of Serial and Batch Bundle for Inward Entry

For those who deal with frequent incoming stock transactions, Empress offers an auto-creation feature for your Serial and Batch Bundles. To set this up:

  1. Ensure that the ‘Serial Number Series’ has been set for the Serial Item.
  2. Activate the ‘Automatically Create New Batch’ checkbox with ‘Batch Number Series’ for the Batch Item.

Once correctly configured, creating a Purchase Receipt or Stock Entry with the Type “Material Receipt” will automatically generate a Serial and Batch Bundle for incoming entries upon record submission.

Auto-Creation of Serial and Batch Bundle for Outward Entry

For outgoing stock transactions, Empress also offers auto-creation of Serial and Batch Bundles. To activate this feature:

  1. Enable the checkbox “Auto Create Serial and Batch Bundle For Outward” in the stock settings.
  2. Set “Pick Serial / Batch Based On” as “FIFO / LIFO / Expiry” in the stock settings.

With these settings in place, when you create a Delivery Note or Stock Entry with the Type “Material Issue,” the system will automatically generate the Serial and Batch Bundle upon record submission.

Manual Creation of Serial and Batch Bundle

If you prefer to manually create your Serial and Batch Bundles, that’s also an option! Firstly, you’ll need to have your serial or batch numbers in the system. You can quickly import these numbers using the CSV import option, and a blank CSV template is available through the Serial and Batch Selector for your convenience.

Once your numbers are in the system, you can manually create a Serial and Batch Bundle for both inward and outward entries. For outgoing entries, use the Serial and Batch Selector to pick Serial or Batch Numbers based on the “FIFO / LIFO / Expiry” method.

Tracking Serial Number History

Keeping track of your Serial Numbers is a breeze with Empress. Simply refer to the “Serial No Ledger” report to view the full history of your Serial Numbers.
