The Maintenance Schedule in Empress is a feature that enables you to plan, oversee, and track all your upcoming maintenance events. It helps you ensure that your machinery receives the care it needs, extending its lifespan and preventing unexpected downtime.

Getting Started

Before you create a Maintenance Schedule, make sure you have:

  • A Customer record for the client who owns the machine
  • An Item record for the machine that needs maintenance

Creating a Maintenance Schedule

Here are the steps to create your Maintenance Schedule:

  1. From your Empress dashboard, navigate to:

Home > Support > Maintenance > Maintenance Schedule

  1. Click on New to start a new Maintenance Schedule.
  2. Choose the Customer and the Items that need maintenance.
  3. Set the Start and End Dates for the maintenance period.
  4. Pick a Periodicity to determine how often the visits will occur. You can choose from “Weekly”, “Monthly”, “Quarterly”, “Half Yearly”, “Yearly”, or “Random”. The schedule will be created based on this selection.
  5. The Number of Visits will be set according to the Periodicity you chose.
  6. Pick the Sales Person who will be conducting the visits.
  7. Click on Save.
  8. After saving, click on the Generate Schedule button to create a Maintenance Schedule.
  9. Finally, click on Submit.

Once you click the Generate Schedule button, a separate row will be created for each maintenance visit. Each item in the Maintenance Schedule will be assigned to a Sales Person. After you submit the document, Calendar events will be created for each maintenance visit for the Sales Person User.
