Streamlining Shift Management with Empress Shift Type

Welcome! In this guide, we’ll explore the Shift Type feature in Empress, a powerful tool for defining and managing shifts within your organization. The Shift Type feature simplifies employee scheduling and attendance tracking, making it an essential tool for efficient business operations.

Understanding the Shift Type Feature

The Shift Type feature enables you to create various shift types, define their start and end times, and even set up automatic attendance marking based on employee check-ins. By utilizing this feature, you can streamline shift management and ensure accurate attendance records for your employees.

Accessing the Shift Type Feature

To access Shift Type, follow this navigation path:

Home > Human Resources > Shift Management > Shift Type

Let’s create a new shift type:

  1. Click on New.
  2. Enter the Shift Name, Start Time, and End Time.
  3. Click on Save.

You’ve now created a new shift type!

Enabling Auto Attendance

The Shift Type feature also allows you to enable automatic attendance marking for employees assigned to a specific shift. This function uses the Employee Checkin records to mark attendance. To manually trigger auto attendance for a single shift type, click on the Mark Attendance button in the shift type document.

Configuring Shift Type Settings

Basic Set Up

  1. Start Time: Enter when the shift begins.
  2. End Time: Enter when the shift ends.
  3. Holiday List: Select the holidays for the shift. If left blank, the default holiday list from the Employee Master or Company document is used.
  4. Enable Auto Attendance: Mark this option to automate attendance marking for this shift.

Note: If the end time is earlier than the start time, the system considers it a night shift spanning two calendar dates.

Auto Attendance Settings

You can customize the Auto Attendance settings to suit your business needs:

  • Determine Check-in and Check-out: Choose how the system interprets check-in logs.

    1. Alternating entries as IN and OUT during the same shift: The system assumes the first entry as IN, the next as OUT, and so on.
    2. Strictly based on Log Type in Employee Checkin: The system determines check-ins as IN or OUT based on the ‘Log Type’ in the Employee Checkin record.
  • Working Hours Calculation Based On: Decide if you want to include or exclude breaks during the shift in the calculation of working hours.

    1. First Check-in and Last Check-out: This option includes all breaks or all out/in entries in your working hours.
    2. Every Valid Check-in and Check-out: This option excludes the time during which the Employee is checked out.
  • Begin check-in before shift start time (in minutes): Set this value if employees often check-in a few minutes before the shift start time.

  • Allow check-out after shift end time (in minutes): Set this value if employees often check-out after the shift end time.

  • Mark Auto Attendance on Holidays: Enable this option to mark auto attendance on holidays if Employee Checkins exist on that date.

  • Working Hours Threshold for Half Day: Set this value to mark ‘Half Day’ if actual working hours are less than this value.

  • Working Hours Threshold for Absent: Set this value to mark ‘Absent’ if actual working hours are less than this value.

  • Process Attendance After: Set the date from which ‘Auto Attendance’ should start marking attendance.

  • Last Sync of Checkin: This shows the timestamp up to which Employee Checkin records have been synced.

Late Entry & Early Exit Settings for Auto Attendance

  • Enable Late Entry Marking: Mark Attendance records with Late Entry when the employee’s In Time exceeds the permissible In Time.
  • Late Entry Grace Period: Add additional grace period in minutes to the Shift Start Time after which entries are marked as late.
  • Enable Early Exit Marking: Mark Attendance records with Early Exit when the employee’s Out Time falls short of the permissible Out Time.
  • Early Exit Grace Period: Add additional grace period in minutes to the Shift End Time before which exits are marked as early.
