Why Use Document Versioning?
Document Versioning is an essential feature for businesses, especially when conducting an Audit Trail. It allows you to review all changes made to a document, the exact time of those changes, and who made them. This is invaluable in maintaining accountability, ensuring accuracy, and tracing modifications over time.
How to Enable Document Versioning
Let’s take a look at how to activate Document Versioning for Purchase Orders as an example:
- Go to the Purchase Order List.
- Choose Customize from the menu.
- This will take you to the Customize Form page for Purchase Orders.
- Look for the box labeled “Track changes” in the Properties section and check it.
By doing this, Document Versioning will be enabled for all future changes to Purchase Orders.
Understanding the Version Log
Each document with Document Versioning active will generate a Version Log. This log contains links to specific versions of the document.
Clicking on these links will take you to a comprehensive log detailing all the fields and the changes made to them. This provides an invaluable tool for managing and auditing changes, ensuring you have a clear and detailed record of all document modifications.
