This feature will help you break down complex business objectives into manageable tasks, assign these tasks to individual team members or groups, and efficiently track the progress of your projects.

Introduction to Projects in Empress

In Empress, a Project is a structured endeavor aimed at achieving a specific goal, such as producing a new product or enhancing existing services. By breaking down your project into smaller tasks, you can manage various aspects of your business more efficiently.

To access the Project Management feature, go to:

How to Create a New Project

Creating a new project in Empress is straightforward:

  1. Go to the Project list and click on New.
  2. Fill out the necessary details:
  • Project Name: Give your project a title.
  • Status: Set the initial status of your project to ‘Open’. You can update this to ‘Completed’ or ‘Cancelled’ as your project progresses.
  • Expected End Date: Set your target completion date for the project.
  1. Click on Save to create the project.

Additional Project Options

When creating a project, you can also:

  1. Use a pre-existing Project Template.
  2. Set an Expected Start Date and Expected End Date.
  3. Categorize your project into various Project Types, such as Internal or External.
  4. Assign a Priority Level to your project.
  5. Link the project to a specific Department in your organization.
  6. Toggle the Is Active status of the project.
  7. Choose a Completion Method to track your project progress based on Manual, Task Completion, Task Progress, or Task Weight methods.

Project Management Features

Empress’ Project Management feature provides various tools to help you monitor and manage your projects:

Customer Details, Users, and Notes

  • Customer: You can enter the details of a specific customer for whom the project is being carried out.
  • Sales Order: You can fetch the details of a sales order related to the project.
  • Users: You can give access to any website user to the project.
  • Notes: You can add any additional notes to the project.

Start and End Dates

  • Actual Start Date: This is automatically recorded based on when the project actually starts, tracked via Timesheets.
  • Actual End Date: This is automatically recorded when the project actually ends, tracked via the last Timesheet update.

Costing and Billing

Empress helps you manage your project finances by automatically tracking and calculating various costs:

  • Estimated Cost: The anticipated cost of the project.
  • Total Sales Amount: Automatically populated if the project is linked with a sales order.
  • Total Costing Amount: Calculated from all the Timesheets linked to the project.
  • Total Billable Amount: Calculated from all the Timesheets linked to the project.
  • Total Expense Claim: Based on the expenses claimed by employees for the project.
  • Total Billed Amount: Populated automatically from the sales invoice created against the sales order.
  • Total Purchase Cost: Cost fetched from the Purchase Invoices against a purchase order issued for supply of materials for the project.
  • Total Consumed Material Cost: Captured from the stock entry made for the materials required in the project.

Margin

  • Gross Margin: The difference between your total costing amount and the total billed amount.
  • Gross %: The percentage of the total billed amount spent on the total costing amount.

Monitor Progress

Enable the ‘Collect Progress’ option to add monitoring details to the project. A progress report will be sent to all project stakeholders at a set frequency. You can also select a holiday list for your company to collect progress reports only on working days.
